Job Title:
Assistant to the Executive Director (DWG)
Full-time (40 hours), $20 to $25 per hour (depending on experience), some flexibility available.
 
We provide leadership and coordination of fire recovery and rebuild efforts by supporting the research, development, and communication of resources while opening opportunities for fire-affected communities to share their needs and shape priorities.
 
REQUIREMENTS:
* Minimum 2 yrs of Administrative Assistant experience.
* Bilingual (English and Spanish) required, bicultural preferred
* Excellent written and verbal communications skills
* Excellent organizational, planning, and leadership skills
* Intermediate software skills (Quickbooks, Office/iOS word processing and spreadsheets, Google Docs/Sheets, Zoom, social media platforms)
* Personal vehicle, driver’s license, and insurance. Will drive to various sites throughout shift
* Initially, this job will require remote availability via Zoom and other meeting platforms, eventually will require work in and between office and meeting/job sites.
* Must love people, process, and performance
* Fast, flexible learner
 
JOB DUTIES:
* Support all the daily work it fulfills this cross-organization coordination role.
* Plan, organize, staff, coordinate, monitor, measure and optimize all processes, staff and systems necessary for the ED to optimize the effectiveness of the organization and its community relations.
* Listen and note the structure of conversations in meetings, as well as the details that will require follow-up.
* Plan and schedule the ED’s work.
* Communicate with work teams via multiple platforms (Email, Basecamp, Slack, Box, etc.)
* Research, manage and collaborate on grants/funding opportunities.
* Manage IT and paper systems to ensure data quality and system performance.
* Maintain all necessary impact, financial, regulatory, and development data and processes including compliance, fiscal sponsorships, contract management, and tax filings.
* Track budgets and reduce costs wherever possible.
* Simple bookkeeping
* Spanish translation and outreach to the Latino/a/x community.
